With music and performing arts at our core, Crowden facilities are available to rent for a variety of occasions!
Please review our Rooms & Rates for general information on our leasable facilities. As a courtesy to our staff, and to maximize availability, kindly submit all rental inquiries via our online rental inquiry form at least 30 days in advance of your requested booking date. Requests submitted with fewer than 14 days advance notice are subject to availability and may not be accommodated.
A signed Rental Schedule, Master Service Agreement, and payment of the security deposit (50% of the rental total) are required to secure a booking.
As a reminder: The Rental Schedule and Master Service Agreement set forth detailed terms and conditions applicable to leasing Crowden facilities.
Clients are reminded to review and familiarize themselves with all Crowden Rental Policies in advance of their event.
Clients will receive a digital invoice for each rental payment (e.g., deposit and final balance), along with a secure link to make payments online. Rental fees may be paid by credit card or ACH.
Crowden does not accept rental payments by check, cash, or money order.
All canceled reservations will result in the client forfeiting their security deposit. Reservations canceled within thirty (30) days of a reservation date are subject to a 100% payment of fees owed to Crowden in accordance with the applicable Rental Schedule.
As a courtesy for administrative processing, please submit any cancellation request to rentals@crowden.org at least thirty-one (31) days before the reservation date established in the Rental Schedule.
All clients are required to maintain liability and property damage insurance with coverage of at least $1,000,000 (one million dollars) naming “Crowden Music Center” as an additional insured. The coverage must be active during the entirety of the Client’s use of the Facilities. Proof of required insurance coverage must be submitted to Crowden Music Center at rentals@crowden.org by the date indicated in the Rental Schedule.
Service of food and beverages beyond reasonable personal-use items (i.e. personal water bottle and/or personal use snacks) is considered exceptional and must be authorized and preapproved by Crowden in advance of signing a rental agreement. Clients planning to include food or beverages as part of their event will be asked to indicate this when completing the Rental Inquiry Form.
No food, beverages, or liquids of any kind are permitted on or near any piano or other Crowden-owned musical instruments (sometimes referred to as CMC-Owned musical instruments). To protect our instruments from accidental spills, stains, and other damage, the consumption or service of food and beverages must take place separately from any musical activities. Groups are expected to schedule food service before or after musical activities or in a separate designated location. Failure to comply may result in cleaning, repair, or replacement charges for any damage incurred.
Additionally, food consumption cannot take place on carpeted floors.
Please note: Crowden Music Center reserves the right to grant or withhold Food, Beverage and/or Alcohol Service in its sole and absolute discretion.
Service of alcoholic beverages also requires exceptional approval. If authorization for alcohol service is granted, all alcoholic beverages must be served by a licensed alcoholic beverage service provider. The client and/or any vendor serving alcohol is required to obtain alcohol liability insurance and provide evidence of such insurance to Crowden in accordance with the date specified in the applicable Rental Schedule. The client and its vendors are responsible for ensuring proper administration of alcohol, which includes the following: (1) alcohol must be secured and attended at all times; (2) age verification, and (3) refusal of service to underage and intoxicated individuals.

With the exception of the Steinway Concert Grand piano located in the Auditorium, use of any pianos located in the reserved room(s) are included in the rental fee.
Clients are responsible for ensuring all event participants follow Crowden’s Standards For Use of CMC-Owned Musical Instruments. The client shall be fully responsible for any damage to CMC’s Musical Instruments that results from their own or their guests’ and/or participants’ use or misuse of CMC’s Musical Instruments, including but not limited to the cost of replacement or repair, if needed.
Although tuning across pianos is consistent, Crowden cannot guarantee that pianos will be perfectly in tune at the time of your event. Clients are welcome to schedule a site visit with the Rental Service Manager in advance of their event to test the pianos.
If a piano tuning is requested, piano tunings must be performed by a technician of Crowden’s choice and will incur a $250 tuning fee. If you anticipate requiring a piano tuning, please allow 30 days’ advance notice to request this service. Crowden will schedule the tuning within one week of your event date. CMC does not guarantee that pianos are in tune. Requests made within 14 days of an event may not be accommodated.
As a courtesy to our team, kindly request any add-on services at least 30 days before your event; requests made within 14 days of an event will not be accommodated.

Note: Client’s hosting events with extensive production needs will be required to fill out the Crowden Rentals: Event Plan form. This form will be sent to clients on an as-needed basis by the Rental Services Manager and should be completed no less than 14 days before the scheduled rental.
Any requests to extend rental hours or reserve additional rooms beyond those approved in the Client’s Rental Schedule are subject to availability and cannot be guaranteed. To allow adequate time for scheduling and operational planning, clients are encouraged to submit such requests to rentals@crowden.org at least 14 days before their event date when possible.
If approved, extended rental hours and/or additional rooms will be charged at the applicable hourly rates in accordance with our Fee Schedule.
Please note: Same-day requests to extend rental hours or reserve additional rooms will not be accommodated under any circumstances.
Clients are granted access to facilities as defined and permitted in the client’s signed Rental Schedule. Unauthorized use of our facilities or holdover occupancy (staying past your permitted use) will be subject to penalty fees as applicable in the Crowden’s Exhibit A: Fees Schedule.
